How to work with Tasks in Qondor

Stay organised and keep on top of things by handling tasks in Qondor and be reminded when they are due.

💡 Good to know: The notepad icon in the top-right corner of Qondor will always be visible and takes you to your Task List.

How to add tasks

Add tasks per project

1. Click the Task icon in the main menu.

2. Add the task name and due date.

If you're in an active project, the task links to the project automatically.

3. Click Save — and you're done!

Add and view tasks from the customer page

If you're on the Customer page and need to add a task, you can do this by clicking the notepad icon at the top right corner. This will open the task slide-in window on the same page.

Tasks related to a customer are visible in the customer's activity tab, alongside notes, calls and meetings.

You can set tasks to completed directly from there and use the "Hide completed" toggle to keep the view focused on open work.

Add more details with advanced fields

Click "Show advanced fields" to reveal additional options:

  • Description: Add details about the task.

  • Visibility: Keep it private or visible to other Project Managers.

  • Status: Set it as To do, In progress, or Complete.

  • Assignee: Change from yourself to a colleague.

  • Project: Link to a specific project.

  • Customer: Attach to a related customer. When you select a project or create a task from within one, the Customer field is filled in automatically with that project's customer. You can still change or clear it if needed.

🛎️ Task email reminders

  • You'll receive a daily email with all tasks due that day.

  • A due date column is included in the email so you can quickly see when each task is due without needing to open Qondor.

  • Friday's reminder email includes tasks due on the weekend, so the heading will read 'Tasks due today and this weekend.'

  • Click the task link to go directly to the task.

  • Clicking the project link opens the project page.

📌 Overdue tasks are not included in reminders.


View tasks

View tasks from anywhere in Qondor

Click the Tasks icon at the top of the page in Qondor, and a slide-in window will appear displaying tasks that are overdue or due in the next 7 days.

View tasks within a project

When opening the Task slide-in window inside a project, an automatic project filter is applied and only tasks that belong to that project will be visible.

Click "Task list" to access this; here you will see your tasks.

The Task list provides an overview of all upcoming, overdue, in progress and completed tasks, both for the logged in user and across teams and projects.

You can filter the page to view exactly what you are looking for:

  • The default view shows only your tasks, but you can toggle the "Yes/No" button next to "Only my tasks" to view yours and your colleagues' tasks.

  • Filter by "Due date" to prioritize tasks based on deadlines.

  • Under "Assignee" choose to view another colleague's tasks.

  • Project and Customer filters list all projects and customers with tasks, so you can select which project or customer you want to view tasks for from the "Project" or "Customer" dropdown.

🔁 You can also reset your filter by clicking "Reset" to the right.

If you access the list from a specific project, only tasks connected to that project will be displayed.


👥 Colleague's tasks

Assign to a Colleague

By default, tasks are assigned to you. To assign to someone else:

  1. Click "Show advanced fields"

  2. Type their name in the "Assignee" field and select

3. The assignee will be notified in Qondor.

View a Colleague's Tasks

In the Task List, use the "Assignee" filter, select "Custom", and choose one or more team members. Click Apply filter to view their tasks.


Connect a task to a specific project

When inside a project, newly created tasks are automatically linked.

To change or manually assign to another project:

Start typing the project name or number in the Project field and select from the dropdown.


View and change status on tasks

Change a task to in progress or completed

When creating a task the default status is To do. To change the task status to reflect where you are in the process, simply use drag & drop to move the task from the To do column to the In progress or Completed column.

View Completed tasks

Tasks completed less than 14 days ago will be displayed by default in the "Completed" task column. Task manager filters out tasks that are completed more than 14 days ago, and archives these tasks.

To view the archived tasks simply click the "Include archived tasks" as shown below. When you press this, the completed column will display all your archived tasks, as well as tasks completed less than 14 days ago.


Edit or delete a task

Edit: In the task list, click the task you want to edit, and a dialog will appear. Make your changes and remember to save them.

Delete: In the task list, click the task you want to delete, and a dialog will appear. Scroll down, click the delete icon at the bottom right. You will need to confirm the deletion when prompted.


Tips

💡 Categorise tasks with colours

Assign colour codes when creating tasks to visually group and prioritise.

Example colour scheme:

  • Red = Urgent/deadline

  • Blue = Name reporting

  • Green = Invoicing

Align colour use with your office's task categorisation rules.

💡 Automatic creation of a follow up task once an offer is sent

The send offer dialog contains an option to create a task to follow up on an offer that is being sent. Check the checkbox Create reminder task with due date and a task will automatically be created. Project managers can select which date to receive the email reminder on from here.

The reminder will be received along with any other tasks due on that date. The task will contain the following information:

  • Task name: "Follow up on offer sent (OfferSentDate)"

  • Description: Mirrors Supplier email task

  • Assignee: The Project Manager

  • Due Date: Chosen by the user

  • Project: The one associated with the offer
