Check-in clerks are users with limited access who can help run on-site check-in for an event. They are typically used when customers or external staff are responsible for checking in participants, without needing access to the full project setup.
A check-in clerk only has access to the Check-in module for the specific project(s) they are assigned to.
WHEN TO USE CHECK-IN CLERKS
Use check-in clerks when:
External staff are helping you with on-site check-in.
Your customer is responsible for running check-in themselves.
A single check-in clerk account can be used:
Across multiple check-in points.
On multiple devices (for example, laptops or tablets).
At the same time.
BEFORE YOU START
Check-in must activated on the project. (Order check-in here.)
The Check-in clerks page is only available for projects where check-in is enabled.
Anyone with access to the project can manage check-in clerks.
HOW TO SET UP A CHECK-IN CLERK
Open your project and hover over the Participant menu.
Go to Check-in clerks. You will then be redirected to the Check-in clerks page.
Click "New check-in clerk" and fill in the details of the user.
(First name, last name, email address, a username and password are required.)
Save the check-in clerk.
The new check-in clerk will appear in the list and can immediately be used to log in to the Check-in module for that project.
π Make sure to share the login details with the person who will be responsible for running check-in.
EDIT A CHECK-IN CLERK
Select the check-in clerk you want to update.
Edit the relevant details (for example, to update the email address or to change the password).
Save your changes.
The updated information will be reflected in the list.
πThe password field is kept empty for security reasons. Leave it empty if you are not changing the password.
If you need to update the password, enter a new one in the password field.
DELETE A CHECK-IN CLERK
Find the check-in clerk you want to remove in the list.
Select the delete icon (red bin) at the end of the row.
Confirm the deletion when prompted.
The check-in clerk will be removed from the list and will no longer have access to the Check-in module for the project.
GOOD TO KNOW
Check-in clerks only have access to the Check-in module.
They do not have access to other parts of the project.
