Calculate deposits automatically in offer invoices

Learn how to use the deposit calculator to automatically calculate and add deposit lines on offer invoices.

What is the deposit calculator?

Deposit lines used to be a typing job. Pick the VAT article, type the amount, repeat.

The deposit calculator does the sum for you. Simply select the products the deposit should cover, enter a percentage and the deposit line is ready.

How to use it

1. In your project, go to the "Customer invoicing page" and create a "new offer invoice".

You'll find the deposit calculator under Invoice deposits at the bottom of the page.

2. Select the products you want to include in the deposit calculation.

๐Ÿ’กNarrow down your product list

If your project has a lot of products, use the supplier or product category filters to narrow down what's displayed โ€” for example, to show only accommodation.

Filters only affect what's visible on screen, so any products you've already checked still count towards the calculation. A note will tell you how many of your checked products are hidden by an active filter.

3. Add a calculated deposit

In the "Add a calculated" deposit panel:

a) Choose Incl. VAT or Excl. VAT as the basis. The same choice sets the "Incl. VAT" flag on the line it creates.

b) Type the percentage amount. For example, 30.

c) Click "Add calculated deposit". A new line appears under "Deposit lines" with the amount filled in. Pick the VAT article, since the selected products may use more than one.

Enter a percentage. The selected total is shown next to the buttons.

Split by VAT article

If your selected products use more than one VAT article, click "Split by VAT" article instead of "Add calculated deposit". You'll get one deposit line per VAT article, with the article preselected and the article number added to the description.

Split by VAT article produces one line per unique article.

When would I need to enter more than one VAT article?

This is most common in countries where multiple VAT rates apply due to a mix of accommodation, transport and fees.

How to reduce a previous deposit

To reverse an earlier deposit, find it in the "Previously invoiced deposits" table and click "Reduce". That adds a matching negative line with the same article, so you do not have to retype the amount.

๐Ÿ“Œ "Reduce" doesn't automatically check whether a deposit has already been credited, so take a moment to review the previously invoiced deposits list before reducing.

Good to know

โœ… Your product ticks stay in place after each Add calculated deposit and Split by VAT article click. Change the percentage and add another line without reselecting everything.
