How to track booking changes

Track changes, confirmation PDF, booking history, and the detailed change log.

In many projects, there comes a time when you need to review what has changed in a booking — either because a booker has submitted updates, or a project manager has made manual edits on their behalf. Typical scenarios include:

  • A participant claims they registered for something that is now missing

  • You notice a discrepancy in product quantities or participant names

  • You want to double-check whether someone has edited or removed a comment

  • You need to compare the most recent booking status against a previous version

No matter who made the change - the booker, or a project manager - Qondor helps you keep track of edits using three tools:

  • Booking Confirmation PDF

  • Booking History

  • Change Log

This article explains when and how to use each of these tools, what kinds of changes are logged, and how to interpret them effectively.


📄 Booking Confirmation PDF

Each time a booking is confirmed or reconfirmed, a new versioned confirmation PDF is generated. It includes:

  • The booker's name and participant details

  • All booked products and dates

  • Comments entered by the booker (including the Booking comment from the Summary step)

➡️ You can download previous versions of the confirmation from the Booking History to compare what was confirmed at different times.

🔎 Note:

  • If a booker edits only the booking comment in the Summary step and reconfirms, the change will only appear in the confirmation PDFnot in the change log.

  • If a booker walks through the booking form and reconfirms without making any actual changes, a new entry will still appear in the change log with a new timestamp—but no specific changes will be listed, as nothing was altered.


🕓 Booking History

Booking history shows a timeline of confirmation actions. It includes:

  • Who confirmed the booking

  • When it was confirmed

  • A download link to the confirmation PDF for that version

Use this view to understand when changes were confirmed, and download historical PDFs for comparison.

🔁 Change Log (Change History)

The change log displays a complete list of tracked changes made to:

  • Participant details

  • Participant categories

  • Booked products (including name reporting and quantities)

Every change is timestamped and grouped by confirmation or saved draft actions.

✅ What shows up in the change log?

  • Participant added or removed

  • Name edits (first name, last name, email, etc.)

  • Product changes: added, removed, or changed (including who it's assigned to)

  • Reporting names on products (e.g. which participant a room or dinner is booked for)

❌ What does not appear in the change log?

  • Changes to booking comments in the Summary step

    • These only appear in the confirmation PDF when the booking is reconfirmed.

  • Changes to internal or administrative fields not editable by the booker
