Assign participants to a program (per user phone), bulk update, and use merge tags

Personalized program - how to set per user phone authentication, bulk assign programs to participants, enable feedback on program activities, and use merge tags to personalise participant programs in Qondor.

Requirements

  • Each participant must have a unique and valid phone number in the Phone field.

  • Participant status must be Attending.

  • One or more programs must already be created in the project.


Step 1: Set program authentication to per user phone

  1. Go to Program โ†’ Settings โ†’ Authentication

  2. Select Per user phone

  3. Click Save

When enabled, each participant must enter their phone number to access their personal program.

Important

  • Each participant must have a program assigned (see Step 2)

  • Phone numbers must be unique within the project

  • Participant must have status Attending


Step 2: Bulk assign a program to participants

Donโ€™t have registration in Qondor?
If you are not using Qondor registration and want to import participants instead, you can easily do this by importing a list.

  1. Go to Participants

  2. Select the participants you want to update

  3. Click Bulk edit

  4. In Choose fields to update, select Program

  5. Choose the program to assign

  6. Click Confirm

๐Ÿ’ก You can also bulk update participant status to Attending if needed.


Step 3: Enable feedback on program activities (optional)

You can collect feedback from participants on specific activities in their personal programs.
Program feedback requires authentication set to Per user phone or Per user login code.

  1. Go to Program โ†’ Settings โ†’ Authentication and select Per user phone (if not already set).

  2. Make sure each participant is assigned to a program (see Step 2).

  3. Go to Program โ†’ Files & Feedback

  4. Click Add question, type your question, and choose whether to collect responses as a star rating or comment

  5. In each relevant program, edit the activities and check Enable feedback, then save.

Participants can then rate or comment directly from their program, and you can view all responses under Program โ†’ Reports.


Step 4: Use merge tags to display participant information in programs

  1. Create or identify relevant Participant custom fields (for example Group assignment, Table number, Meal choice)

  2. Make sure program authentication is set to Per user phone or Per user login code

  3. Open the program and click Merge tags in the text editor

  4. Insert the desired fields where you want information to appear

The participantโ€™s data will automatically display in their program and update instantly if the booking changes.

Examples of useful merge tags

  • Group or category for activity scheduling

  • Table number at dinner

  • Meal choice or dietary information


Troubleshooting

Participant cannot access the program

  • Check that status is Attending.

  • Verify that the participant has a valid phone number in the Phone field.

  • Confirm that the number is unique โ€” duplicate phone numbers are not supported.

Wrong or incorrect phone number

  • Participants must log in using the same number registered in Qondor.

  • If the number is incorrect, update it in the Phone field and confirm itโ€™s unique before retrying.

Program information missing

  • Make sure merge tags are added correctly in the program text.

  • Check that participant custom field data exists in the booking.

Participant sees the wrong program

  • Verify which program is assigned to the participant under Participants.
