Define project stages for more accurate financial forecasting and overview

Use Project stages for more accurate financial forecasting in Pending projects. Project ledger, Qondor Business Intelligence and Insights will then take each project's stage into account when displaying estimated numbers.


HOW PROJECT STAGES WORK

In projects with status Pending, Project Managers can in the Project ledger define a stage for Pending projects, to define where in the sales process a project is, and the probability of the project being confirmed by the customer. A standard stage is automatically set, but it can be changed by clicking on project status Pending in the ledger:

  • A project for a regular recurring customer will most likely have a high stage percentage.

  • A project for a customer you have no or poor experience with, will most likely have a low stage percentage.

  • Office admins can define a standard stage for pending projects in Office -> Settings. The standard stage should be near your average project hit rate, to make the financial forecasting as accurate as possible.

  • Qondor provides a standard list of stages (see below), but Office admins can amend the list to suit internal sales routines.

    0%   - Cancelled/Rejected
    20% - Approach
    40% - Negotiation
    70% - Closing
    100% - Confirmed

  • When a project is confirmed, the project stage is automatically set to 100%.

  • When a project is cancelled, the project stage is automatically set to 0%.


DEFINE PROJECT STAGES (FOR OFFICE ADMINS)

  • Office admins can edit which alternatives should be available in the Project stages drop down menu for project managers who change stages in projects.

  • Access Office -> Project stages. Here Office admins can add new percentages and give them names to make it easier for Project managers to select one. Existing stages can also be renamed.

  • Stages can be disabled (except 0 - Cancelled and 100 - Confirmed) so they cannot be used on new projects. 

  • A stage can only be deleted from the list if it is not in use on any projects.

  • If you do not edit anything, the following stages will be available for selection

    0%   - Cancelled/Rejected
    20% - Approach
    40% - Negotiation
    70% - Closing
    100% - Confirmed

  • In Office -> Settings -> General -> Default project stage settings, you can define standards so Project managers do not have to make the selection for the majority of projects, see example below.

    - Which stage should be default for new projects being created?
    - Which stage should be default for undecided products in confirmed projects?
