A clearer, more structured financial overview with unweighted numbers - including commissions and total profit

A SMARTER WAY TO TRACK PROJECT FINANCES

The new Project Ledger gives you a more structured and transparent overview of key financial figures like sales, costs, revenue and commissions. Data is now organised into clearer columns, making it easy to see what is pending (unweighted), what has been confirmed, and what's been invoiced. This way you get a clear overview of how your project is performing at a glance.


​PROJECT STATUS & REMARKS

At the very top of the Project ledger, you can update the project status. The project status describes where in the process the project is at.

Here's more information on the statuses:

Pending: Created in Qondor, but has not been confirmed yet. When the project is pending, a project stage can be set. Read more about project stages.
Confirmed: Automatically set when customer confirms offer on Customer Web, when you as a PM set a product to accepted in Offer admin, or when you publish a Form.
Finished: Manually set by a PM when the project is finished
Cancelled: Manually se by a PM. For reporting purposes, a cancellation reason must be given



REMARKS

Add any remarks to your project ledger in this free text field.


OVERVIEW SECTION

  • Pending and Confirmed columns for tracking of financial status (details below).

  • Commissions grouped per supplier across all offers in a project.

  • Total profit overview for a clear picture of financial performance by summing up commissions and revenue.

Pending and Confirmed numbers

If you're familiar with Qondor BI Reports (only Office admins and Super admins have access to these reports), you'll recognise 'Pending' and 'Confirmed' numbers from the Project list.

Pending:

  • Products from the main offer only

  • Products with an undecided product status (answer not set or "Maybe")

  • Products with a price published on Customer web

  • Products where the customer is paying (as offered)

Confirmed:

  • Products which are is confirmed (in any offer)

  • Products with a price published on Customer web

  • Product where the customer is paying (as offered)

Overview: VAT Handling

The total amounts shown in the Pending, Confirmed, and Invoiced sections are calculated based on the billing model applied to products within the project. VAT is handled differently depending on the billing model:

  • Standard / Margin: Amounts are displayed excluding VAT

  • Referral: Amounts are displayed excluding VAT

  • Pass-through: Amounts are displayed including VAT

  • Invoice deposits: Amounts are displayed excluding VAT

Commissions

The Project Ledger now includes pending (only from the main offer) and confirmed commissions, grouped per supplier across all offers within the project. In edit mode, you can manually input your real commissions income when financially closing the project. You can also report on commission income not linked to a specific supplier using the [No supplier set] input.

Total profit

The new Total profit section provides a complete overview of all profit, helping you track your project's overall financial performance more efficiently.

If you're using our Sale & Cost API to insert financial information from your back-office system, you'll have two additional columns in the overview.

How it looks:

Actuals

Actuals values are totals based on the amount excluding vat in Actual sales and Actual costs.

Actuals paid

Actuals paid values are totals based on amount paid in Actual sales and Actual costs.

Real

Real values are set manually by the Project manager. They are mandatory when setting the project status to finished. Qondor will give the Project manager suggested values based on the following rules:

1. If the project does have actual sales, actual amounts excluding vat will prefill real values.
2. If the project does not have actual sales, invoiced values will prefill the real values.


INVOICE SPECIFICATIONS


Offer invoices: Customer offer invoices will be listed here.​
Form: Booker payments and customer form invoices will be listed here.​


The following information applies to those offices with API integration only.

ACTUAL SALES (API INTEGRATION)

Insert your customer invoices from your back-office system into Qondor by using the Sale API.

This section only contains elements inserted through the Sale API.

Connect actual end customer invoices to booker invoice specifications

When using the Sale API, you'll be able to match the invoices sent from your back-office system to the issued invoice specifications in the booking. The link is created automatically by Qondor if you're using the same Reference on the Sale as the External reference set on the invoice specification.

Add your supplier invoices from your back-office system in Qondor by using the Cost API. This section only contains elements inserted through the Cost API.
