GET STARTED
To create a sustainability report, you must first have a project in Qondor.
Open your project.
From the top menu, click on Sustainability to access the reporting module.
You’ll be taken to the report overview page, which looks like this:
CREATE YOUR SUSTAINABILITY REPORT
First you need to add items to your sustainability report.
You have two options to add items for sustainability reporting:
Create items from products in an offer
If you have an offer with products that you want to report emissions on, you can easily import those products as report items, saving time and ensuring consistency.
Select "Create items from products".
Select the relevant offer from the "Offer" dropdown menu.
Choose which products to import, based on their offer status. The products will appear based on the offer status selected. You can select/deselect the products you want to appear as report items.
Most often, you’ll want to import products marked “Yes” (confirmed products).
The category (transportation, food and beverage, accommodation & venue) and type (flight and hotel only) may be detected. You can change the selections if required. These need to be set so the data is displayed clearly in the report and calculated using the appropriate methodology.
Items within "group products" that are connected to a specific emissions category will be included as individual items, not as a group as they don't have a defined category. This is standard behaviour for sustainability reports, as each item needs a clear classification to calculate emissions.
*Methodologies* are standardised approaches used to calculate and report CO₂ emissions.
They define what data is used, how it's calculated and which assumptions or emission factors are applied. Different methodologies can lead to different results depending on what’s included, like non-CO₂ effects or regional policies.
4. Click "+ Create" to add items to the report.
The selected products will now appear as items in your report, with the available information obtained from the offer including:
Transport product
Name
Category
Type
Flight number
Outgoing and return destinations
Departure date
Number of passengers
Travel class (Default will always be "economy")
Airline
Aircraft type
📌If a transport product doesn’t contain segments, it will be imported as one general item. If it does contain segments (like multiple legs of a journey), each segment will be imported as a separate line in the report.
Food & beverage
Name
Category and quantity
Accommodation product
Name
Category
Type
Number of room nights
Star rating of hotel
You can add or adjust the data by going into each item where needed and this may update the Estimated CO₂e (total).
Good to know:
🌍 CO₂e = carbon dioxide equivalent
A standard unit that combines all greenhouse gas emissions into one comparable figure based on their climate impact. By default, the CO₂e Calculation is set to automatic and will use a default methodology to calculate the Estimated CO₂e (total).
Add items manually
Click "+ Add item".
Fill in the item details.
A slide-in window will appear.
Type in the name and select the category (mandatory).
Choose from Transportation, Accommodation & venue, Food & beverage, Other.
When you have chosen the category (and or type), the dialog will expand and reveal the relevant fields for that category. (These will vary based on the selected category.)
When filled out, Qondor automatically gives you an estimated CO2e total, in the same way as when you import report items from products in an offer.
Once you have completed all the necessary fields, click "Add item" at the bottom of the dialog. The items will be added to your report.
💡TIPS:
If you have emissions data from the supplier, we recommend selecting “Manual” under CO₂e Calculation and entering the value directly for a more accurate Estimated CO₂e (total).
Enter information about items missing emissions figures and calculations in the "Details" field.
REVIEW YOUR REPORT
Whether imported or adding items manually, you will see an overview of the items with the column headers: Item name, Type, Quantity, Details, CO₂e and Actions.
The overview cards at the top of the page update automatically based on the items you add to your report. Each card represents a key emissions category (Transportation, Accommodation & venue, Food & beverage and Other) as well as the Total carbon footprint.
Take for example, the hotel stay, which is categorised under Accommodation & venue. As a result, that specific card has been updated to show 2 607 kg CO₂e, and the total carbon footprint* reflects this addition.
🧑*The total carbon footprint also includes the footprint per person, making it easy to compare impact across different projects or participant groups.
Categories with no added items will remain at 0 kg CO₂e, (in this example, "Other" is 0.)
📌Note, we recommend adding all items to the report even if you do not know the emissions data and Qondor can't calculate it. This allows for transparency and helps create the best possible report. While the emissions is most important, it's also useful to have an overview of what actually adds to the emission data even when actual numbers are unavailable.
SEND YOUR REPORT
Once you have added all the required items to your report and you’re ready to share it with with the relevant person, you can send the report.
1. Click “Send report” in the top-right corner of the page.
2. Add the contact person or type in an email address and click "add".
An email dialog will appear. Select or manually type in the email address of the person you need to send to. Enter the email subject and body.
💡Want to preview the report before sending?
Send it to yourself first to review.
Example:
ℹ️ The Sustainability report will be automatically attached to your email as a PDF, so there is no need to attach this.
💡Create reusable email templates
Click “Templates”, write your message and save it. You’ll be able to insert it each time you send an email with the report; no need to retype it.
3. Finally, click "send report".
4. The report is now sent. The email is logged in the communication centre.
