To get started, you’ll need to create a project. In Qondor, a “project” represents any request or delivery to a customer, supplier or colleague.
Creating a project is the first step because it gives structure to your reporting. It’s where you add the details necessary to produce a sustainability report.
CREATE A PROJECT
Click “New project” and fill in the relevant details.
Start from scratch to build a brand-new project, or copy an existing one if you're sending a similar report. For example, to the same recipient or with the same items.
Choose a customer from your database or add a new customer from here.
After creating your project, you will see a page that looks like this:
The first line shows a summary of the report details, including the project manager’s name, company, location, start and end dates and number of participants.
The report will be blank until you add products.
CREATE YOUR SUSTAINABILITY REPORT
1. Add items to your sustainability report.
To add items for sustainability reporting, click "add item".
2. Fill in the item details.
A slide-in window will appear.
a. Type in the name and select the category (mandatory).
b. Choose from Transportation, Accommodation & venue, Food & beverage, Other.
In this example, a hotel stay is being added. For Accommodation & Venue and Transportation categories, the "Type" field will appear and a selection must be made.
c. When you have chosen the category (and or type), the dialog will expand and reveal the relevant fields for that category. (These will vary based on the selected category.)
When filled out, Qondor automatically gives you an estimated CO2e total.
3. Complete the rest of the item fields.
Good to know:
🌍 CO₂e = carbon dioxide equivalent
A standard unit that combines all greenhouse gas emissions into one comparable figure based on their climate impact.
By default, the CO₂e Calculation is set to automatic and will use a default methodology* to calculate the Estimated CO₂e (total).
Methodologies* are standardised approaches used to calculate and report CO₂ emissions.
They define what data is used, how it's calculated and which assumptions or emission factors are applied. Different methodologies can lead to different results depending on what’s included, like non-CO₂ effects or regional policies.
💡TIP: If you have emissions data from the supplier, we recommend selecting “Manual” under CO₂e Calculation and entering the value directly for a more accurate Estimated CO₂e (total).
4. Add the items to your report.
Once you have completed all the necessary fields, click "Add item" at the bottom of the dialog. The items will be added to your report.
You will see an overview of the item with the column headers: Item name, Type, Quantity, Details, CO₂e and Actions.
The overview cards above update automatically based on the items you add to your report. Each card represents a key emissions category—Transportation, Accommodation & venue, Food & beverage and Other—as well as the Total carbon footprint.
In this example, we’ve added a hotel stay, which is categorised under Accommodation & venue. As a result, that specific card has been updated to show 1 123 kg CO₂e, and the total carbon footprint now reflects this addition.
Categories with no added items will remain at 0 kg CO₂e. Note, we recommend adding all items to the report even if you do not know the emissions data and Qondor can't calculate it. This allows for transparency and helps create the best possible report. While the emissions is most important, it's also useful to have an overview of what actually adds to the emission data even when actual numbers are unavailable.
💡TIP: Enter information about items missing emissions figures and calculations in the "Details" field.
SEND THE REPORT TO THE RELEVANT PERSON
Once you have added all the required items to your report and you’re ready to share it with with the relevant person, you can send the report.
1. Click “Send report” in the top-right corner of the page.
🧑💼A person who requires the report could be a Sustainability manager or director, Chief Financial Officer or similar.
2. Type in the email address.
An email dialog will appear. Enter the email address of the person you need to send to. Enter the email subject and body.
💡Want to preview the report before sending?
Send it to yourself first to review.
Example:
ℹ️ The Sustainability report will be automatically attached to your email as a PDF, so there is no need to attach this.
💡Create reusable email templates
Click “Templates”, write your message and save it. You’ll be able to insert it each time you send an email with the report, no need to retype it.
3. Finally, click "send report".
4. The report is now sent. The email is logged in the communication centre.
VIEW SENT REPORTS IN THE COMMUNICATION CENTRE
The Communication Centre shows a full overview of all sustainability report emails sent from your project.
From here, you can:
View when it was sent
See recipient details and if it's been successfully delivered from Qondor.
Click to preview the exact message content and download a copy of the pdf report.
Use the filter at the top to narrow results by date. (This is helpful if you're looking for a specific report.)
