Work with and report on booking allotments

Keep full control of your event capacity — prevent overbookings and always know what's available.

Allotments let you control how many of a product, ticket type, or room are available for booking. Once set, Qondor automatically tracks what's been booked and what remains — so bookers can only select what's genuinely available, and you never oversell.

Allotments work for simple use cases like event tickets with a fixed capacity, as well as more complex projects where you need to reserve availability for specific participant categories (for example, a VIP group).



HOW TO SET ALLOTMENT

Once you've added a product to your Form, you can set an allotment directly on it.

On a standard product or a transport product the product configurations appear in a vertical layout. Allotments are set here:

There are two allotment figures to set: the total allotment (your full available quantity) and the bookable allotment (the amount available to participants). These can be the same, or you can set a lower bookable amount if you want to hold a buffer in reserve.

You can also choose whether to display remaining availability to bookers on the form, or let Qondor manage allotments quietly in the background.

If you have more than one participant category, you can reserve a portion of the allotment for a specific category — for example, to hold tickets exclusively for VIPs. Select the category and enter the reserved amount; that quantity will only be bookable by that category.

For accommodation products, available allotment is set in the # of rooms column. The number of available rooms is not displayed to bookers, but Qondor will automatically notify them when a room type is fully booked on their selected date.




ALLOTMENT OVERVIEWS

View allotment

In the Form module, you can view a live overview of both accommodation and product allotments. These overviews include completed bookings and bookings that are currently in progress.

In-progress bookings are included because when a booker selects a product, that quantity is held for approximately 20 minutes — even if they haven't completed the form yet. If they deselect or abandon the form, the hold expires and availability is released. The overview reflects this in real time.

Edit allotment

Edit allotment from the overview. Select "Enable edit" to update allotment figures directly from the overview — useful when you need to update several products at once. Note that changes save immediately when you leave the text field, so double-check your entries before moving on.

Filter the accommodation allotment view. Use the filter to view accommodation allotment by participant category or allotment status.




SHARE ALLOTMENT INFORMATION WITH OTHERS

Need to share allotment data with a customer or supplier? You have two options:

  1. Export to Excel — click the export button to download the allotment as a spreadsheet.

  2. Create a participant list — build a List of Participants, select products in the List fields, and make sure "summary row" is checked (it's on by default). This is useful when you want to share a formatted, branded view rather than a raw export.
