Match your Qondor with your organisation's structure

WHAT ARE TEAMS IN QONDOR?

If your organisation has several locations or departments/teams it could be a good idea to differentiate these by creating teams in Qondor. All teams will still belong to your office and have the same access to projects and products. 

A team can have its own contact information (name, email, phone, address, bank account details) or use the office information. You can report per team and communicate with customers via team emails. 

Teams can be created and administered by users with Office admin or Super admin access point.

TEAM STRATEGY

Teams can be used in various ways with Qondor, and we will help you set up your strategy. In Office settings, Office admins can define whether using a team is mandatory or not for Project managers. (Read more about project managers and user roles).



There are multiple scenarios in the New project screen with the Team option:

Start from scratch:

PM does not belong to a team:

If team is mandatory in the office:

  • Team option is visible

  • The PM must select a team


If team is not mandatory in the office:

  • Team option is not visible

  • Team is not selected


PM belongs to a team:

  • Team option is not visible

  • The PM's team is selected

Template / use existing:

When using a template, or copying a project that has a team set, this team will be copied to the new project.


Exception: A team can be set on the new project page if:

  • Team is mandatory in the office

  • PM does not belong to a team.

📌 Only Super admins and Office admins can change the team on a project once the project has been created. This is done under Project settings -- Project info tab.


CREATE A TEAM

Teams can be created under the User --- Teams menu, as shown below. Here Office admins can include a team name, a description and contact information. 

When a team has been created, users can be assigned to a team from the Users menu. 

GOOD TO KNOW

In Office -> Settings, Office admins can choose for the standard sender of Qondor emails to be the team name and email address.

In Project Search, all users can search for projects by Team, as long as all project managers belong to a team. This may give you more accurate search results and the possibility to follow up on a more detailed level.

SEARCH FOR A TEAM'S PROJECTS

Use the Teams filter in Project search to search for projects for one team or multiple teams.

📌 The team must be assigned to a project for the project to be displayed in the search.

📌 Select one team to bring up projects for a team, or select multiple to bring up projects for several teams.

REPORT ON A TEAM

In Qondor Insights, Office and Super admins can report on Teams' aggregated performance, and choose one or multiple teams to display data for.

REMOVE A TEAM

DEACTIVATE TEAMS

A team that is no longer in use (i.e. connected to users or projects but no longer required) can be deactivated by doing the following:

  1. Go to the Teams menu.

  2. Click the red icon 🚫 next to the team you want to delete.

Note:

  • Deactivated Teams cannot be used on New projects (or set to Users).

  • Deactivated Teams stay connected to projects in Qondor and are marked with "(deactivated)".

DELETE TEAMS

A team that is in use, either by being connected to users and/or projects, cannot be deleted as it would remove historical data and the possibility for the team to be connected to the users and projects. Deactivate the Team in this case.

🚮A team that is not connected to any projects to users can be deleted:

  1. Go to the Teams menu.

  2. Click on the name of the team you want to delete.

  3. Scroll to the bottom of the profile page and click 'Delete'.
