Customer contact persons

Everything you need to know about adding, updating and removing contact persons—and giving them access to Qondor’s Customer Web.

WHAT IS A CUSTOMER CONTACT PERSON

A Customer contact person can belong to one or more customers and projects. They have a user account to sign into the Offer Customer web page for a project.

On the Customer web, Project managers can publish offers, lists, files, information pages and links to other web pages. A contact person must be added to a project to be able to sign in to the Customer web.

HOW TO ADD A CUSTOMER CONTACT PERSON

After saving a new customer, you can add contact persons right away.
You can also add them later by editing the customer or when creating new projects.

To add a contact person from the Customer page:

  1. Click Add new contact person

  2. Start typing the email address

    • If the contact person already exists in Qondor, Qondor will recognise the email address and their details will fill in automatically.

    • If no match is found, enter the details manually

  3. Click Save to add the contact person.

  4. Remember to save the customer again to confirm the update.

HOW TO EDIT A CUSTOMER CONTACT PERSON'S DETAILS:

  1. Go to the Customers menu and search for the contact person.

  2. Open the customer profile, scroll down to the Contact Persons section.

  3. Click the contact person's name (under the First name column)

  4. In the dialog that appears, you can update:

    • Email address

    • First name

    • Last name

    • Phone numbers

  5. Click Save

  6. Then click Save again on the customer profile.


HOW A CUSTOMER CONTACT PERSON CAN RESET THEIR PASSWORD

When logging in to view a Qondor offer for the first time, the contact person must set a personal password that is not saved anywhere in Qondor for security measures. 

If the contact person forgets the password or has trouble logging in, they can reset it from the login page.

Here's how:

  1. On the login page click forgot your password.

  2. Enter the username

  3. Click send me a link

Qondor sends a reset password link to the email associated with the account. When the contact person clicks the link, the login page will open, and they can choose a new password.

Click reset your password and log in with the new details.

🔐Password requirements

To protect your account, passwords must meet the following requirements:

  • Minimum Length: Your password must be at least 8 characters long.

  • Avoid Predictable Passwords: For added security, avoid using passwords that are simple, widely known or easily guessed. This helps protect your account from potential vulnerabilities.

REMOVE A CUSTOMER CONTACT PERSON FROM A CUSTOMER

  1. Go into the relevant customer profile via the Customers menu.

  2. Scroll down to Contact Persons and click the red icon ❌ on the contact person you want to remove. In the example below, one contact person can be deleted immediately as it does not have any projects connected to it.

  3. The other is connected to at least one project and therefore cannot be removed.

To delete, you must go to Project settings within the project(s) the contact person is connected to and remove the contact person from any projects first. You can use Project Search to find all the projects the contact person is connected to by using the Customer person filter. Once removed from all projects, you can go back to the customer and delete the contact person.

Didn't mean to hit the red cross? Simply reinstate the customer contact person by clicking the faded blue arrow.
