Filtering in Lists

Filtering in Lists makes it easier to work efficiently with large volumes of participant and booking data. Column filters allow you to narrow down the list quickly without scrolling through long tables or exporting to Excel.

Filters can be applied on each individual column and combined across several fields at the same time. This makes it simple to pinpoint exactly the participants or bookings you want to work with, even in large and complex projects.

A free-text search across the entire list is available at the top, while column filters provide a more structured and precise way to refine your results.


How column filtering works

When opening a List, you will see a filter field under each column. You can:

  • Enter text to filter values within a specific column

  • Combine filters across several columns to refine the list

  • Use the Clear all filters button to reset the entire view

  • Identify active filters easily, as columns with filters applied are displayed in bold

This makes it simple to isolate exactly the rows you want to work with, especially when handling multiple products or participant choices.

A Clear all filters button is available above and below the list.
Use it when you want to return to a full overview after combining several filters.


Practical scenario

Below are examples of realistic situations where column filtering helps you complete work faster and with more accuracy.

Participants travelling from a specific location and joining a certain activity

You need to prepare for an activity day where participants have chosen different activities, equipment options and travel locations. For planning purposes, you want to find Participants who:

  • Selected the activity “Ski trip”

  • Are travelling from London

Steps:

  1. Type “Ski trip” in the Activity filter.

  2. Type “London” in the Travelling from filter.

The list instantly shows only the participants who match all three criteria.

This makes it easy to:

  • Coordinate transport based on departure location

  • Double-check comments such as special needs or missing equipment

  • Send a targeted email or SMS to just this filtered group


Scenarios from the Booking List

Column filtering is also available in the booking list, making it easier to work with payment information and financial summaries.

Count bookings by payment method

Filter on the payment method column to see how many bookings were paid by credit card versus invoice.
This is useful when reconciling payments or preparing reports.

View totals based on payment method

By filtering on invoice or credit card, the Amount invoiced and Total paid columns will show totals only for the filtered group.
This gives you an immediate overview without needing to export.

Combine payment method with product selections

If you want to identify bookings where a specific payment method is used together with a particular product, you can filter both columns at the same time.
For example: show all bookings paid by invoice where participants have also selected a certain product.

This allows you to extract targeted financial or operational information in seconds.


Communicate directly with filtered participants

When filters are applied in the participant list, the communication tools (Email, SMS) will use the filtered view.
This makes it possible to send targeted messages only to the participants currently displayed.
For example:

  • Send an SMS to all participants departing from a specific location without making a list per location

  • Email only those who selected a particular products.

  • Follow up with participants who have not booked an optional product

There is no need to manually select or deselect participants; the filter determines the recipient group.


Export filtered data to Excel

Excel export respects all active filters.
If you only want the filtered subset, simply apply your filters and export — the Excel file will contain exactly what you see in the list.

This is helpful for sharing information with suppliers, finance teams or event staff.
